Background
- Millennium Circulation Notices first appeared in 2002 with Release 2002,
Phase 2.
- Many new circulation and notice features added with Millennium Silver released in July 2004.
- With release of Millennium Silver, Circulation notices now fully "millennium-ized".
- Also with Silver, there is now unique functionality ONLY in Millennium Circulation that is not available in the text-based INNOPAC system.
- Courtesy Notices
- Auto-Notices
- Variable Subject fields for email notices
Changing Notice Modes
- Millennium currently supports three notice modes:
- Manual (default)
- Saved Parameters
- Auto Notices
- Innovative must change the notice mode for you which can be accomplished
by opening a call or using a Service Committment from the CSDirect website.
- In Manual mode the user is presented with a configuration screen which is
the same one used in the other two modes, but with no ability to save "jobs" or
schedule Auto Notices.
Saved Parameters
- In Saved Parameters mode the user can configure and save notice criteria,
but is not able to configure/schedule Auto Notice jobs.
- A user can only view the saved jobs for their location.
- In order to see all saved parameters, the site must have III enable the Notices
Administrator which can also be done with a Service Committment. Notices Admin
is an Option Group that is configured at the login level.
Auto Notices
- Auto Notices only send notices via email to patrons.
- Auto Notices are sent ONLY once a day in the early AM (setup by III)
after the automatic processes that create most circulation notices are run.
The user
can only configure
what days the notices run, not at what time they are
run nor can the user have them run multiple times a day.
- Notices for patrons without email addresses can be sent to an email or file
save. When setting up an Auto Notices job, the printer you are required to
select is used for the notices for patrons without an email, not for the notices
as
a whole.
- Auto Notices can still be prepared manually when in Auto Notices mode by
selecting an entry from the Saved Notices table and choosing the Prepare icon.
Manually
prepared Auto Notices ignore all of their auto notice settings.
Courtesy Notices
- Courtesy notices are a type of circulation notice that is sent to the patron
(via email) a specified number of days before an item is due.
- Courtesy notices are a "special" kind of notice in that they are generated
once a day by the system and if they are not sent, they are lost for that
day. For this reason it is best to setup Courtesy Notices as an Auto Notices
job so that patrons can receive them even when the library is not open and/or
manually preparing notices.
- When a Courtesy Notice is sent, the ODUE DATE field of the item record is
populated with the date the notice was sent. The # OVERDUE field remains 0
until the item is overdue at which time the ODUE DATE and # OVERDUE fields
are updated.
Courtesy Notices Setup
- Request that Innovative setup Courtesy Notices for your site.
- In each loan rule, configure the "# OF DAYS BEFORE OVERDUE" element.
- Create the text of the Courtesy Notice.
- In each loan rule, add the notice text number to the "COURTESY
NOTICE TEXT #" element.
- Create and save Auto Notice job(s) for courtesy notices.
Millennium Circulation Parameters
- The best addition to the Millennium system since...well EVER!
- Accessed via the Admin menu, Parameters,
Circulation
- Extremely useful to be able to sort Loan Rule and Loan Rule Determiner table
by column headers.
- Additional EMAIL SUBJECT entries can be added here, but are not available
for use until after a re-start.
- Text of Circulation Notices - Significantly easier to edit and create the
text of notices.
